Keep the original coin packaging and its matching paperwork connected to the same inventory record. Before moving boxes around, list what belongs to each coin or set: the outer box, inner case, capsule, certificate, and any information card. Record missing pieces as missing. A similar empty box from another purchase is not evidence that the original packaging is complete.
Identify the original packaging
Assign the packaging the same collection ID as its coin record, while keeping any added label on a separate index card or the outside of a larger storage container. Describe the issuer, product name, year, and visible identifying details. Photograph the package alongside its record card before separating it from the coin. Avoid covering an existing product label with your own inventory sticker.
Choose a storage arrangement
Decide whether you can keep the coin and packaging together. If they must be stored separately, record both locations clearly enough that you can reunite them without opening several unrelated boxes. Use a simple box and compartment reference in the private inventory. Keep exact security arrangements out of a shared copy. Do not sacrifice a protective coin holder merely to make the outer packaging stack neatly.
Connect the paperwork
Place a record of the receipt and certificate with the inventory entry. Distinguish an original document from a scan or photograph, and record where the original is kept. If a certificate number is present, transcribe it carefully and check the image before saving. A piece of paperwork should not be described as matching a coin when the connection is uncertain or based only on similar appearance.
Review storage without unpacking everything
Make a short location check part of your inventory review. Read the external box identifiers and compare them with the record before opening anything. When a container moves, update its location at the time of the move. If a box is crushed or damp, document what you observed and ask for appropriate storage advice before changing the coin holder. Do not clean packaging or coins as an improvised repair.
Prepare a useful handover
If someone else will help manage the collection, show them how the packaging ID connects to the coin record. Give them a sample entry and ask whether they can identify both storage locations from it. Correct unclear labels before extending the system. Keep the original record when an item leaves the collection, and note which packaging and documents accompanied it so you can explain the handover later.
